Job Summary

The Business Intelligence (BI) Project Support Officer will play a vital role in supporting project delivery within the BI Department. This role involves providing high-quality administrative and coordination support to ensure smooth departmental operations and successful implementation of key initiatives.

The position works closely with the Project Manager and other colleagues across the Trust, serving as a central contact for meetings, communications, and project documentation. This is an excellent opportunity to contribute to data-driven initiatives that enhance services across CNWL.

Main Duties and Responsibilities

Core Responsibilities

  • Monitor and update the departmental Project Tracker.

  • Support the roll-out of the BI Department Communications Plan.

  • Coordinate and arrange Trust-wide networking and training events.

  • Assist with operational processes for new requests and issue resolution.

  • Organise, facilitate, and minute project meetings, including SMT sessions.

  • Draft project-related correspondence and materials.

  • Manage stakeholder communications effectively.

  • Produce and distribute accurate meeting minutes.

Working closely with the Senior Management Team, Analysts, and Data Engineers, the Project Support Officer will ensure the smooth delivery of projects and operational processes by coordinating activities, maintaining trackers, and supporting communications.

Detailed Job Description

Project Coordination and Oversight

  • Support the Director and Assistant Director of Performance, Information & Business Intelligence in coordinating project resources.

  • Assist the Project Manager and Senior Team in maintaining project trackers and review processes.

  • Collate and manage documentation such as plans, risk logs, and issue logs.

Stakeholder Engagement and Customer Support

  • Act as a first point of contact for stakeholders.

  • Provide responsive support and signpost queries to appropriate leads.

  • Support satisfaction assessments and improvement actions.

Administrative and Secretarial Support

  • Prepare agendas, draft correspondence, and take accurate minutes.

  • Organise meetings, training sessions, and departmental events.

  • Coordinate scheduling for SMT meetings and facilitate team updates.

Communications and Information Management

  • Assist with drafting and distributing departmental communications.

  • Maintain content on Trustnet and SharePoint pages.

Person Specification

Education and Qualifications

Essential:

  • GCSE English and Maths (Grade C or above) or equivalent.

  • RSA 3, NVQ 3, or equivalent secretarial experience/qualification.

Previous Experience

Essential:

  • Significant experience in administration or secretarial roles.

  • Experience in front-line customer service.

Desirable:

  • Previous experience within NHS or social care services.

  • Experience in communications, minute taking, and report writing.
